2.1 Real Estate Brokerage (Prospective Client and Customer Management)

Processing of personal data for the initiation, processing, and documentation of contractual relationships within the framework of real estate brokerage, including the automation-supported creation and archiving of correspondence and other documents.

2.2 Events

Processing of personal data for the preparation, organization, implementation, and follow-up of events (e.g., invitations, registrations, participant management, logistics, documentation, and public relations).

3. Legal Basis for Processing

The processing of your personal data is based on:

  • Art. 6 (1) (b) GDPR (Contract / Pre-contractual measures): particularly for real estate brokerage agreements and event-related services.

  • Art. 6 (1) (a) GDPR (Consent): e.g., for event registrations or the processing of special categories of personal data.

  • Art. 6 (1) (f) GDPR (Legitimate Interest): e.g., for the documentation of events, public relations (photos/videos), and the maintenance of customer and business relationships.

  • Legal Obligations: particularly arising from tax, corporate, or record-keeping regulations.

Consent granted may be revoked at any time with effect for the future.

4. Categories of Processed Data

Depending on the purpose, the following data in particular may be processed:

  • Identification and contact data: Name, address, email address, telephone number, title.

  • Contractual and property data: Contract information, correspondence, property details.

  • Professional data: Company, position, field of activity.

  • Event data: Registration data, participation information, workshop bookings.

  • Logistics and organizational data: Travel and accommodation information.

  • Catering data: Dietary preferences and restrictions.

  • Health data (optional): e.g., allergies or physical restrictions, if required for event organization.

  • Payment data: if necessary in connection with events or contracts.

  • Image and video recordings: Photographs and videos of events.

The provision of sensitive data (e.g., health data) is voluntary and occurs exclusively on the basis of your express consent.

5. Data Sources

Your data originates either:

  • From information provided by you personally,

  • From our central Customer Relationship Management (CRM) system, provided a business or customer relationship already exists.

6. Recipients of Data

Your personal data will only be passed on to the extent necessary and only on a legal basis or with your consent.

6.1 Internal Recipients

  • Employees of BUXBAUM Immobilien GmbH entrusted with contract or event processing.

  • Companies within the group or network, if required for joint projects.

6.2 External Recipients

  • Contractual partners and third parties involved in business processing (e.g., other brokers, property management companies, financing companies).

  • Event-related service providers (e.g., hotels, caterers, logistics partners, speakers, photographers).

Transfer to recipients in third countries may occur and is based on appropriate safeguards (in particular standard data protection clauses or adequacy decisions). Data will not be passed on for advertising purposes.

7. Storage Period

7.1 Real Estate Brokerage

Personal data is stored for the duration of the contractual relationship and beyond in accordance with statutory retention and limitation periods.

7.2 Events

  • Participant and organizational data: up to a maximum of one year after the end of the event, provided no legal obligations prevent this.

  • Invoice and payment data: according to statutory retention periods.

  • Photos and videos: unlimited storage for documentation and public relations purposes, unless an objection is made.

  • CRM data: information about your participation may be stored permanently unless a request for deletion is made.

8. Photos and Video Recordings at Events

Image and video recordings may be made at events. These serve the purpose of documentation and public relations (e.g., website, social media, event materials). Legal basis: Legitimate interest pursuant to Art. 6 (1) (f) GDPR. You may object to this processing at any time. Please inform the event team or contact us in advance or subsequently.

9. Data Security

We employ appropriate technical and organizational measures to protect your data from unauthorized access, loss, or misuse, including:

  • Access restrictions

  • Encrypted data transmission

  • Regular security reviews

  • Training of our employees

All persons entrusted with data processing are bound by confidentiality.

10. Your Rights as a Data Subject

Under the GDPR, you have the following rights in particular:
